Be careful with requests from Viet Nam (we normally just shift + close these tickets as that area of the world has been known for fraudulent activity). We also have a few fraudulent requests from India (but not all).
Where to find affiliates that have submitted an application through a Freshdesk ticket.
- Tesla Themes, all the information you need for the review will be in the actual Freshdesk ticket.
- Showthemes, log in https://www.showthemes.com/wp-admin/ -- WP Affiliate > Manage Affiliates (and edit ‘recent’ Pending ones). Note that you will see some older ones that are still in Pending status (because they have already been reviewed and not approved).
Before approving affiliates, we need to access their URL and check for the following criteria.
Evaluating suitability to promote our products as an affiliate
- Have they already been approved? as an affiliate for any of our other products? If so, they can be approved (as they have already been through the vetting process). Have they already been deemed as fraudulent or not suitable?
- Is it a legitimate website? If they didn’t provide a URL and only provided a physical address (or a website that is not working) send them this canned response Affiliates > Requesting URL to assess affiliate applications for approval and put the ticket in ‘Waiting on Customer’ status: Affiliates > Requesting URL to assess affiliate applications for approval. If they do not respond within approximately 3 days, go ahead and Shift + Close the ticket. Chances are they are not legitimate and possibly fraudulent.
- Is their site WordPress related? Are they already promoting other plugins or themes or hosting?
- Does the email address look suspicious? i.e. gamal12345@yahoo.com, etc? Does the email and name of the person match the contact information when you select Contact on their site?
- Check information about website i.e. age. I use https://www.duplichecker.com/domain-age-checker.php. You should see something like this: https://www.screencast.com/t/mDnC7PKmbd – in this case, the site has been around for a while, so this criteria is met.
- Check the reputation of the website. I use https://www.urlvoid.com/ or https://www.urlvoid.com/whois-lookup/ and you should see a result similar to this one: https://www.urlvoid.com/scan/cuongthach.com/. You can see whether they have been blacklisted and more site information.
Approving Affiliates – Tesla – Existing User
Tesla (especially) – check the email address, name, etc. to make sure that they are not already a member or existing affiliate.
If they are already a member (and not an affiliate) and are approved as an affiliate, we update their user information. https://www.screencast.com/t/Nnaj1MT2
- Fill in their first and last name fields.
- In the Comment field, put in their website URL.
- Under User Groups, change this to Affiliates.
- Fill in Phone Number and Company Name fields.
- Under Affiliate Program https://www.screencast.com/t/ak39qwoDUJ3:
- Change Is Affiliate? to Both Affiliate and member.
- Click Yes for Allow Affiliate to redirect Referrers to any URL.
- Under Affiliate Payout Type, select PayPal.
- Then copy in their PayPal email address and Save.
Approving Affiliates – Tesla – New Affiliates
If they are not already a user/affiliate
- Select Add User in https://teslathemes.com/amember/admin-users.
- Copy the information from the Freshdesk ticket into the fields.

Note: we no longer have access to Imagely Freshdesk so we will need to put in another example when we receive a Reactr ticket.
- Besides Password, select generate. User Groups: Affiliates. Under Affiliate Program, check off Only Affiliate, Allow Affiliate to redirect Referrers to any URL.
- Under Affiliate Payout Type, select PayPal. Then copy in their PayPal email address. Click on Send Registration E-Mail to this user. Don’t’ select Save just yet.
- Go into the Freshdesk ticket and send this canned response: Affiliates> Approved Affiliates Response - Tesla Themes.
- The Type should be Affiliates
- Theme Reference or Plugin Reference should be the product they are requesting affiliate permissions for.
- Under About, input the name of the product + Affiliate i.e. Tesla Themes Affiliate.
- The status should be changed to Pending.
- If no response in approximately two days, you can Shift + Close the Freshdesk the ticket.
Then you can go back into aMember and select Save (so that the new affiliate receives login credentials).
Approving Affiliates – Showthemes
Not approved
After assessing the website and you feel they do not meet our selection criteria:
- For Showthemes, just leave the affiliate status as Pending in showthemes.com.
- Go to the Freshdesk ticket and ensure the type is Affiliates,
- Fill in the theme reference.
- Add a note detailing why you did not approve the account.
- Shift + Close the ticket.
Approved
If they meet with our approval:
- For Showthemes -- WP Affiliate > Manage Affiliates > Edit and change status from Pending to Approved and Save.
- Next go to the Freshdesk ticket and under More in the top menu, select Edit ticket details. Change the email address to the affiliate’s email address. Add their name. In the Subject field – add the affiliate’s name to it i.e. New Affiliate Account for Imagely – Sahana K.
- Send this canned response: Affiliates> Approved Affiliates Response - Showthemes.
- The status should be changed to Pending.
- If no response in approximately two days, you can Shift + Close the Freshdesk the ticket.
